Campaigns - Sending Limits and Deliverability

Campaigns sends emails directly from your connected mailbox, so your results depend on the mailbox's sending history, your domain setup, and the people you contact. This article explains how SalesQL manages sending and what we recommend before and during a campaign.

Daily sending limits

Each connected mailbox can send up to 50 campaign emails per day by default. To change it, go to Mailboxes, open the mailbox settings, and under Daily sending limit, set Messages per day to any value from 1 to 100. Then click Save changes. The limit applies to the mailbox, not to the campaign.

The daily limit includes every email the mailbox sends that day, from any step and any campaign that uses it. Emails are sent in the order they were scheduled, with no priority for first emails or follow-ups. For example, if the limit is 50 and 30 follow-ups are scheduled for that day, the mailbox will generally send the 30 follow-ups and about 20 new emails. Any emails that don't fit within the limit are sent once the limit resets.

There is no fixed number that works for every mailbox. Email providers such as Google and Microsoft don't set a specific starting volume, but they do recommend avoiding sudden increases. As a general guide:

  • Mailboxes already used every day: The default of 50 is a reasonable starting point.

  • New mailboxes or domains: Start below 50 and increase gradually over a few weeks. Before each increase, check that your emails aren't landing in spam.

Daily mailbox limits are separate from your plan's monthly campaign recipient limit. Sending campaign emails doesn't use credits; it only counts toward this monthly limit. See Plans for the limit included in each plan.

Teams sharing a domain

Email providers assess sending volume across your entire domain, not mailbox by mailbox. If several team members send from the same domain, plan around the combined total.

For example, six mailboxes on the same domain can send up to 300 campaign emails per day at the default limit, or up to 600 at the maximum. Emails sent from other tools on that domain, including day-to-day email, also count toward the total.

How SalesQL spaces your emails

You don't need to set intervals between emails. SalesQL spreads them evenly across the sending window and active days you configure.

If a campaign uses more than one mailbox, the volume is split between them.

SalesQL also stops using a mailbox that has frequent sending failures. This protects the mailbox, but it doesn't detect hard bounces from individual recipients. See

Domain authentication

Ask your email administrator to confirm that SPF, DKIM, and DMARC are set up for your sending domain. These records allow receiving providers to verify that your emails come from an authorized sender. They are essential for deliverability, although they don't guarantee inbox placement on their own.

Building your recipient list

Sending to accurate, relevant contacts is the most effective way to protect your sender reputation. When you add recipients from a folder:

  • Under Status, select only Verified to prioritize verified email addresses.

  • Select Exclude recipients who participated in past campaigns to avoid contacting the same people again.

Before adding recipients, also check that contact details and personalization fields are up to date, and remove anyone who has asked not to be contacted and any address that has returned a hard bounce.

A verified email doesn't guarantee delivery, and excluding recipients from past campaigns doesn't replace an unsubscribe or suppression list.

Writing your emails

  • Introduce yourself and your company, and explain why you're getting in touch.

  • Use a subject line that accurately reflects the content of the email.

  • Make sure every personalization variable has a value for each recipient.

  • Keep formatting simple and include only the links and images you need.

  • Leave enough time between follow-up steps, and review the full sequence so each step adds something new.

Campaigns doesn't add a signature automatically. You can include your signature and company logo directly in the email content.

Attachments are not currently supported. To share a file such as a PDF, upload it to a file-sharing service and include the link in your email.

Replies, bounces, and opt-out requests

This is how Campaigns currently handles each situation:

Unsubscribe links are not added automatically.

Before launching a multi-step campaign, agree on a process with your team:

  1. Include a clear way for recipients to ask not to be contacted again.

  2. Check your connected inbox regularly for replies, opt-out requests, and delivery failure notices.

  3. Keep a shared exclusion list outside SalesQL and check it before adding recipients to a new campaign.

The exclusion list only applies to future campaigns. Contacts in a campaign that is already running will continue to receive the remaining steps.

Before you launch

Review the following:

  • In Mailboxes: the daily sending limit of each mailbox you'll use

  • Recipients and contacts to exclude

  • In Compose email: subject lines, links, images, personalization, and delays between follow-up steps

  • In Send settings: start date, time zone, active days, and time window

After you launch

Use Overview and Recipient activity to track sending progress and engagement. Replies and delivery failure notices arrive in your connected inbox, so check it separately.

If you see repeated delivery failures or spam complaints, lower your daily limit and review your recipient list, domain setup, and email content before increasing volume again.

Consistent, relevant outreach does more for deliverability than sending at the maximum limit.
